Managing Meta (formerly Facebook) Ads for clients often requires granting access to various tools and resources like ad accounts, Pages, and Business Manager. Doing this correctly ensures seamless collaboration while maintaining data security. 

Why Grant Access Properly?

When you grant access properly:

  • Streamlined collaboration: Your team members can access only the resources they need.
  • Enhanced security: Roles and permissions minimize risks by ensuring no unauthorized access.
  • Efficient workflows: Each person can manage tasks relevant to their roles without unnecessary bottlenecks.

Key Meta Platforms to Share Access

Before diving into the steps, let’s clarify the three main tools you may need to share access to:

  1. Ad Account: Where ad campaigns are created, managed, and analyzed.
  2. Page: The public profile of a business on Facebook.
  3. Meta Business Manager: A centralized platform for managing business assets like Pages, ad accounts, and Pixels.

Step 1: 

Access Meta Business Manager Settings.

Step 02:

Add/Manage People and Roles

1. On the left side of the page, open the Users menu, then select People.

2. Here, you will see a list of the people who have access to the Meta Business Manager account (on the left side of the main screen), the Facebook Business Pages they have access to within the Business Manager, and the specific permissions for each page (on the right side of the main screen).

  • In order for someone to run ads for a specific Facebook Business Page in Command, they must have the “Full Control (business tools and Facebook)” toggle set to On here.

3. If you need to give access to an additional person, click Add, at the top of the page.

4. Enter the work email address of the person you want to add, then click Next.

5. In the “Everything” section, select Manage in the permissions drop-down, then click Next.

6. Now we need to give access to each Facebook Business Page associated with the Business Manager Account. Select the page, then turn the Everything permission toggle on. Once you have set the permissions for each page you want, click Invite.

  • There are two separate categories for pages: New Pages Experience and Classic Pages. Ensure you check both categories to ensure you give access to all the pages you need to.

Add Additional Facebook Business Pages to Your Meta Business Manager Account

  1. On the left side of the page, open the Accounts menu, then select Pages.

2. Here, you will see a list of the associated Facebook Business Pages in the Meta Business Manager account (on the left side of the main screen), the people who have access to that page, and the specific permissions for each page (on the right side of the main screen).

  • In order for someone to run ads for a specific Facebook Business Page in Command, they must have the “Full Control (business tools and Facebook)” toggle set to On here.
  • If someone has access to the Business Page, but not the Meta Business Manager account, they will show here with a “Not in Business Account” label. You have the option of either removing page access or adding them to the Meta Business Manager account.

3. If you click Add, at the top of the page, you will see three options:

  • Add a Page – if a team member has an existing Facebook Business Page, use this option to find and select that page to associate it with the Meta Business Manager account.
  • Request Access to a Page – this option is used if you want to give access to a separate Meta Business Manager account to this page. A use case for this is if someone runs an advertising agency and wants to run ads on behalf of their client.
  • Create a New Page – use this if you want to create a brand new Facebook Business Page, under this Meta Business Manager account.

Step 3: Testing Access

After granting access, confirm that the client or team member can log in and perform their assigned tasks:

  1. Check Pages: Ensure the individual can see and manage the Page.
  2. Test Ad Account Access: Verify they can access Ads Manager.
  3. Review Business Manager: Confirm they see the assigned assets in their account.

Tips for Smooth Collaboration

  • Use Business Manager for Agencies: It’s more secure and scalable for managing multiple clients and assets.
  • Assign Roles Wisely: Avoid granting Admin access unless absolutely necessary.
  • Review Access Regularly: Periodically audit permissions to ensure they’re still relevant.

Common Challenges and Solutions

1. Invitation Not Received

  • Ask the person to check their spam folder.
  • Resend the invitation or use an alternate email.

2. Missing Permissions

  • Double-check roles and permissions assigned to the individual.
  • Ensure the person has accepted the invitation.

3. Error Adding Assets

  • Confirm that the Business Manager owns the asset in question.
  • Ensure the asset isn’t linked to another Business Manager without access rights.
